Privacy Policy
Last Updated: September 25, 2026
HeartWire ("HeartWire," "we," "us," or "our") operates an application that helps people discover Queen of Hearts games at local venues and lets venues create and manage a public profile. This Privacy Policy explains what personal information we collect, how we use and share it, and the choices and rights you have. It applies to our application and any related services (together, the "Service").
By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy.
1. Information We Collect
We collect information in the following ways:
- Information you provide directly: When you create an account or a venue profile, we collect details such as your name, email address, password, and any other information you choose to enter, including venue contact details and content you upload.
- Sign-in information: If you choose to sign in with a third-party provider such as Google or Apple, we receive limited account information from that provider, as described in Section 4.
- Venue profile information: Information you provide about a business, such as venue name, address, city, state, phone number, website, profile image, and game details, as described in Section 5.
- Payment information: If you subscribe to a paid plan as a business, payment details are collected and processed by our third-party payment processor, as described in Section 6.
- Usage and device information: We may automatically collect technical information such as your device type, browser, approximate location derived from your searches, pages viewed, and interactions with the Service.
- Files you upload: Images and other files you upload (for example, a venue profile picture) are stored so they can be displayed in the Service.
2. How We Use Your Information
We use the information we collect to:
- Create and manage your account and authenticate you when you sign in;
- Provide, operate, and maintain the Service, including displaying venue information to people searching for games;
- Process subscriptions, payments, and related billing activities;
- Respond to your questions, requests, and support inquiries;
- Send you service-related communications, such as account or subscription notices;
- Monitor and improve the Service, understand how it is used, and develop new features;
- Detect, prevent, and address fraud, abuse, security incidents, and technical issues; and
- Comply with legal obligations and enforce our agreements.
3. Account Information
To use certain features of the Service, such as creating a venue profile or managing a subscription, you must create an account. Account information typically includes your name, email address, password, and role (for example, whether you are a venue operator or an administrator).
You are responsible for keeping your account credentials confidential and for all activity that occurs under your account. If you believe your account has been accessed without your authorization, please contact us immediately using the details in Section 12.
4. Google and Apple Sign-In
You may be able to create an account or sign in using a third-party provider such as Google or Apple. If you choose to do so, we receive limited information from that provider, which may include your name, email address, and a unique identifier for your account, together with any other information you have authorized the provider to share.
We do not receive your Google or Apple password, and we do not control how those providers collect or use your information. Your use of Google or Apple sign-in is also governed by those providers' own privacy policies. You can manage or revoke the access you have granted to HeartWire through your Google or Apple account settings.
5. Venue Profile Information
If you are a venue operator, the information you add to your venue profile — such as the venue name, address, city, state, phone number, website, profile image, and Queen of Hearts game details — is intended to be publicly displayed so that users can find and learn about your venue. Please do not include information in your venue profile that you do not want to be publicly visible.
You are responsible for the accuracy of your venue profile and for keeping it current. You can update your venue profile at any time through your account.
6. Payment Processing
Paid subscriptions for businesses are processed by third-party payment vendors. When you subscribe, you are directed to our payment processor's secure checkout, and your payment card details are provided directly to that processor.
We do not collect or store your full payment card number, expiration date, or security code on our servers. We may receive limited information from our payment processor, such as your name, email address, subscription status, the last digits of your card, and transaction records, which we use to manage your subscription and provide customer support. Our payment processor's handling of your payment information is governed by its own privacy policy.
7. How We Share Information
We do not sell your personal information. We share information only as described below:
- Publicly displayed information: Venue profile information that you provide is shown publicly in the Service.
- Service providers: We share information with third-party vendors that help us operate the Service, such as hosting and database providers, authentication providers, and payment processors. These vendors are permitted to use your information only to provide services to us.
- Legal and safety reasons: We may disclose information if we believe it is necessary to comply with a law, regulation, or legal request, to protect the rights, property, or safety of HeartWire, our users, or the public, or to investigate and prevent fraud or abuse.
- Business transfers: If HeartWire is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this Privacy Policy.
8. Data Security
We use reasonable administrative, technical, and organizational measures designed to protect the information we hold, including encrypted connections and access controls. However, no method of transmission over the internet and no method of electronic storage is completely secure, and we cannot guarantee absolute security. You provide information to us at your own risk.
9. Your Rights
Depending on where you live, you may have rights regarding your personal information, which can include the right to:
- Access the personal information we hold about you;
- Request correction of inaccurate or incomplete information;
- Request deletion of your personal information;
- Object to or restrict certain processing; and
- Request a portable copy of the information you provided to us.
You can review and update much of your information directly through your account. To exercise any of these rights, please contact us using the details in Section 12. We will respond in accordance with applicable law.
10. Account and Data Deletion
You may request deletion of your account and associated personal data at any time from within your account settings, or by contacting us using the details in Section 12.
When we receive a deletion request, we will delete or anonymize your account information and venue profile, and we will remove your venue from public listings. Please note that we may retain certain information where we are required or permitted to do so, for example to comply with legal, tax, or accounting obligations, to resolve disputes, or to prevent fraud. Information shared with third-party providers, such as our payment processor, is subject to their own retention policies.
11. Children's Privacy
The Service is not directed to children, and we do not knowingly collect personal information from children under the age of 13 (or the minimum age required by applicable law in your jurisdiction). If you believe a child has provided personal information to us, please contact us using the details in Section 12, and we will take steps to delete that information.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we make changes, we will revise the "Last Updated" date at the top of this page. If we make material changes, we will provide additional notice as required by applicable law. We encourage you to review this page periodically to stay informed about how we protect your information. Your continued use of the Service after a change takes effect means you accept the updated policy.
